The non-negotiable features for most Indian businesses are contact management (storing name, phone, email, and conversation history), deal or pipeline tracking (knowing where each lead is in your process), and activity reminders (follow up with this person on Tuesday). That is the core.

Beyond that, the features that matter specifically for India are WhatsApp integration, because that is how Indian businesses actually communicate; a mobile app that works well, because many Indian sales teams are field-based; and rupee-denominated deal values in the interface, which sounds obvious but some international CRMs display only dollar defaults.

Zoho CRM is the most popular Indian-origin CRM and for good reason. The free plan handles up to three users and is adequate for very small businesses.

HubSpot's free CRM is widely used and has generous features in the free tier: contact management, deal tracking, email integration, and basic reporting. The paid tiers become expensive quickly when you need automation, but for businesses starting out it is a strong option. The mobile app is excellent.

Leadsquared is an Indian CRM specifically built for education, real estate, and financial services, which are three of the highest-volume lead generation industries in India. If you are in any of those sectors, Leadsquared's industry-specific workflows are worth the higher price.

Freshsales by Freshworks is another Indian-origin option with competitive pricing and good WhatsApp Business API integration through their ecosystem. The interface is clean and adoption is generally easier than older CRMs.

The WhatsApp integration question

Almost every sales conversation for Indian SMBs involves WhatsApp. The ideal CRM logs WhatsApp messages automatically against the contact record. Very few CRMs do this natively. The ones that do (through WhatsApp Business API integration) typically require a separate WhatsApp Business API subscription at additional cost.

For businesses where WhatsApp is the primary communication channel, the workaround is using a tool like Interakt, Wati, or AiSensy as the WhatsApp business layer, and integrating it with your CRM via Zapier or native integrations. It adds a subscription but the operational efficiency is worth it.

Getting your team to actually use it

CRM adoption fails when the tool is too complex relative to the team's current habits. Start with the minimum: add contacts, log notes after calls, move deals through stages. Resist the urge to configure fifty custom fields and complex automation in week one.

Sales managers should use the CRM to run their weekly pipeline reviews. If the CRM is where deals are reviewed, salespeople will use it. If reviews happen in a WhatsApp group, the CRM will be abandoned.
