WhatsApp broadcast strategy for Indian businesses that actually gets responses

WhatsApp broadcasts can either build relationships or get you blocked instantly. Here is the difference, and how to run broadcasts that people look forward to.

WhatsApp broadcast strategy for Indian businesses that actually gets responses

WhatsApp broadcasts let you send a message to multiple contacts at once, but each recipient receives it as a personal message, not as part of a group. Done right, this creates a sense of personal communication at scale. Done wrong, it is spam, and in India where WhatsApp is deeply personal, spam gets you blocked fast.

The fundamental difference between a broadcast that works and one that destroys your reputation is relevance. Relevant messages from a business feel like a service. Irrelevant ones feel like an intrusion.

Who should receive your broadcasts

Your broadcast list should only contain people who have genuinely opted in and have a real relationship with your business. This means past customers, active leads who have engaged with you, event attendees, or people who have explicitly asked to receive updates from you.

Buying number lists and blasting them is illegal under Indian consumer protection rules, violates WhatsApp's terms of service, and will get your number banned. Beyond the legal and platform risk, it simply does not work. A message from an unknown number goes unread or reported.

Segment your list where possible. An education institute should have separate broadcast lists for prospective students, enrolled students, and alumni. A real estate developer might have separate lists for investors and end-users. The more targeted your list, the more relevant your message, the better your response rate.

What makes a good WhatsApp broadcast message

A broadcast message that performs well is short, specific, and gives the recipient a clear reason to respond. It does not feel like a press release or a marketing brochure.

Here is a concrete example. An Indian coaching institute might send: "Hi Rahul, the JEE Mains mock test series for Feb batch starts this Saturday. Only 12 seats left. Want us to hold one for you? Reply YES and we will confirm your spot." This is short, personalised with the name, specific about what is happening, and asks for a simple action.

Compare that to: "Greetings! We are pleased to announce the commencement of our prestigious JEE Mains mock test series. Please contact us for more details." Nobody responds to that.

Timing and frequency

Timing matters enormously. WhatsApp broadcasts sent between 10am and 12pm or between 6pm and 8pm on weekdays tend to get the best response rates for Indian audiences. Avoid early morning and late night.

Frequency should be based on the value you are providing. A meaningful update once or twice a week is fine. Daily promotional messages are too much for most audiences. If you notice your opt-out rate climbing after a broadcast series, you are sending too often or the content is not relevant enough.

Festival periods like Diwali, Holi, and Eid are good moments for WhatsApp outreach, but only if the message is genuinely relevant to the recipient and not just a generic "Happy Diwali" with a discount code.

Personalisation at scale

WhatsApp Business API platforms allow you to insert personalisation variables into broadcast templates. Use the recipient's first name at minimum. For B2B contacts, referencing the company name or last interaction adds relevance.

More sophisticated personalisation uses dynamic variables to tailor content based on the recipient's segment. A property developer could send broadcasts that reference the specific project the recipient enquired about. This level of personalisation significantly improves response rates.

Frequently asked questions

Can I use the free WhatsApp Business app for broadcasts?

Yes, but there are limits. The app limits broadcasts to 256 contacts and only sends to people who have saved your number. For larger lists and automation, you need the WhatsApp Business API.

What happens if too many people report my broadcast as spam?

WhatsApp monitors report rates. High report rates can result in your number being restricted or permanently banned. This is why list quality and relevance are non-negotiable.

Should I include images or PDFs in broadcasts?

Media works well when it adds clarity. A product image, a simple infographic, or an event poster can increase engagement. Do not attach heavy files. Mobile data usage is still a consideration for many Indian recipients.
